What you would do

  • Provide administrative and logistical assistance to the head of unit and to the unit's sectors, including HR-related files, staff missions, and organisation of meetings and events.
  • Coordinate the creation and maintenance of the unit's intranet pages and other collaborative tools.
  • Ensure follow-up and reporting on tasks assigned to the unit and coordinate planning and reporting matters.
  • Manage two budget headings operationally, including budget planning and monitoring of budget consumption.
  • Organise public procurement and manage contracts with external service providers.
  • Perform operational aspects of financial transactions in collaboration with the financial initiating agent.
  • Assist the Records Management Officer in developing and applying records management policy.
  • Contribute to information management and library services, including research and user support.

Eligibility snapshot

Must have

  • Relevant experience in administrative support, financial management, records management and/or knowledge management.
  • Familiarity with electronic document and records management policies and tools used at the European Commission (e-Domec, ARES).
  • Familiarity with budget management, public procurement and contract management, and relevant experience in financial management within EU institutions, including ABAC and/or SUMMA.
  • Thorough knowledge of one official EU language and satisfactory knowledge of another; high level of English or French, and good level of the other working language is desirable.
  • Very good command of standard IT applications and tools (M365), including AI tools in a secure environment.
  • Meet the eligibility criteria specified in Article 12(2) of the Conditions of Employment of Other Servants.
  • You have relevant experience in administrative support, financial management, records management and/or knowledge management.
  • You are familiar with the electronic document and records management policies and tools in use at the European Commission in particular (e-Domec, ARES).

Advantageous

  • Background in Information Science (archives, information, document and records management).
  • Familiarity with providing library services, including contractual handling of subscriptions to media outlets and databases.
  • Thorough digital skills, including experience with AI tools, and/or experience with websites and information platforms.
  • Client-oriented, solution-driven, strong communication skills.
  • Experience in dealing with high-level clients.
  • You preferably have a background in Information Science (archives, information, document and records management).
  • You are familiar with providing library services, including the contractual handling of subscriptions to media outlets and other information databases.
  • You have thorough digital skills, including experience with Artificial Intelligence tools, and/or experience with the creation and maintenance of websites and similar information platforms.
